● LEGAL PROTOCOLS RENTAL PROTOCOL & CONTRACT

Terms & Conditions of Rental

NR Audio Visual commercial staging and hardware policies covering reservation protocols, venue power obligations, weather canopy rules, and logistical overtime.

1. Quotation & Reservation Protocol

All equipment hire agreements are established on an individual quote-and-rider basis. Reservations are confirmed once the written quotation is accepted and the required booking advance is received [CLIENT TO CONFIRM: e.g. 50% advance deposit to block gear]. Equipment is not reserved until confirmation is confirmed by our dispatch team.

2. Venue Power, Space & Access Obligations

The client is responsible for securing adequate venue access, load-in permissions, freight elevator clearance, and stable electrical power. For line-arrays, modular LED video walls, and heavy lighting rigs, dedicated power lines or silent diesel generators (DG) must be provided by the venue [CLIENT TO CONFIRM: specific voltage/phase tolerances].

3. Weather & Outdoor Stage Protection

Electronic equipment—including mixing consoles, amplifiers, speakers, keyboards, and video camcorders—must be shielded from rain, extreme heat, moisture, and dust. For outdoor lawns and open-ground events, the client must supply a waterproof, shaded stage canopy. In the event of unpredicted precipitation, our crew reserves the right to power down sensitive electronics to prevent electrocution and damage.

4. Equipment Care, Security & Liability

While equipment is on-site at the client’s venue, the client is responsible for maintaining reasonable physical security. Any loss, theft, liquid spillage, or physical damage caused by audience members or unauthorized guests will be billed at full replacement or repair cost [CLIENT TO CONFIRM: insurance / indemnity clauses].

5. Cancellation & Rescheduling Timeline

Because equipment is held exclusively for your booking date, cancellations impact logistical routing:

  • • Cancellations made 7+ days prior to load-in: [CLIENT TO CONFIRM: deposit refund percentage]
  • • Cancellations made within 48 to 72 hours of event: [CLIENT TO CONFIRM: cancellation fee]
  • • Same-day cancellations or venue lockouts: Non-refundable [CLIENT TO CONFIRM]

6. Operational Overtime

Quoted rates cover standard setup, sound check, and event hours as agreed in the rider. If the event programme extends significantly past agreed midnight curtains, overtime crew and equipment standby fees may apply [CLIENT TO CONFIRM: hourly overtime rate].
